Position: Payroll/Benefits Specialist

Description:
The Payroll and Benefits Specialist provides payroll and administrative support to the human resources department, with an emphasis on payroll and benefits administration. This individual will also coordinate and executive payroll processing, and assist human resources in advising employees regarding pay and benefits.

Essential Duties & Responsibilities:

  • Responsible for monthly payroll preparation including manual download of employee timecards into ADP; entering employee master file information and pay data; and ensuring accuracy of payroll prior to processing. Will also receive payroll and download master file, and create journal entries in Excel for the general ledger.
  • Create payroll and benefits files and reports such as deduction reports, time and attendance reports, cash out analysis, workers compensation reports, withholdings, PTO summaries, etc. Take lead on creating annual Real Value Statements.
  • Verify W-2, payroll taxes and wage garnishments.
  • Process new hires. File, update and maintain personnel records in both ADP and the internal employee database and hanging files.
  • Work with the HR team to orient new employees to benefits and payroll. Assist HR in annual benefits open enrollment activities.
  • Provide day-to-day benefit administration by assisting employees with benefits support on medical, dental, LTD/STD, 401(K), Flex Spending, PTO, change of address, and any intangible benefits. Handle benefit enrollments/terminations in a timely manner. 
  • Responsible for processing enrollments, changes and terminations for health, dental, life, supplemental life, and short- or long-term disability in a timely and accurate fashion. Process life, short- and long-term disability claims. Reconcile all carrier billing against payroll deductions and approve monthly bills for payment.
  • Work with HR team to offer flu shot clinics, blood drives or other health/wellness initiatives.
  • Maintain and review personnel files in strict confidence and ensure proper documents are retained.
  • Respond to employment verification requests and unemployment claims.
  • Together with Director of Human Resources, ensure compliance with all federal, state and local employment laws, and FLSA.
  • Assist with other projects as necessary.

Qualifications:

  • Three to five (3-5) years of payroll processing and accounting experience, preferably with ADP payroll systems. Two to four (2-4) years prior work experience in benefits administration.
  • BA or Associate’s degree in Business, Human Resource Management, Finance or Accounting preferred but not required. Certified payroll professional (CPP) designation is a plus.
  • Knowledge of current federal and state employment and tax laws.
  • Strong math acumen, excellent analytical skills, accuracy, and outstanding attention to detail.
  • Ability to research and handle extremely confidential information in a professional and discretionary manner.
  • Effective and proven interpersonal skills, including ability to present information and interface effectively with employees, various levels of management, and external customers and service providers.
  • Ability to organize and prioritize work, meet stringent deadlines, and process several projects simultaneously.
  • Proficient in the use of Microsoft Office Suite, with particular emphasis on Excel.
